Again, I do not know what I was thinking....I was hoping for radio tracking collars connected to some giant bank of supercomputers running the latest martial arts management software,  However, I ended up with a very simple roll call followed by manual database updates.

We use Club administrator (fullcontact.com.au)
My sensei has developed it over the years (professional project manager at national department store head office). Handles all our attendance, grading invitations, fee tracking and merchandise stock control (sparring gear, strapping tape, etc)

Would it perhaps depend on the size of the business? when just starting out a simple paperbased or spreadsheet based system might suffice - however a larger dojo operator would probably want to move to a card system as number grow and keeping track of members and their wants and needs becomes more complex as well as profiling members for sales, marketing and PR - if anyone wants any ideas on promotion let me know I do it for a living in the music industry and have tonnes of ideas and strategies... I hear that retention is a common issue.... that's your CRM right there...

A good way to keep track of students is by their benefits. For example parent wants their child to learn focus and discipline, Or you can use a chart to measure their progress, and then when it comes down to re-enroll. You can ask for new benefits.

We use a call out name system whereby at the end of the week we put it onto the database. The register is done on daily basis and maintainable. In 8 days if a student has been upsent, we follow up by calling parents to find out reasons for their absenteesm, ofwhich we have all parents contact information including guardians on the registration form.
In regards with payments, we have developed a system whereby students pay a small amount daily which is equivalent to the monthly payment, and that is also registered onto a payment book, by the end of a month if a child has not made any payment, letters are written to parents to enquire.
We host parents meetings in every 4 months to update parents on everything and anything about the dojo while at the same time they can ask or query about everything. This platform is mainly for parents but are advised to bring their children with. Also parents can contact us at any time for queries or information. In that way we build a parent/teacher relationship. Including the children.

I use a Microsoft piece of software called Business Contact Manager to keep track of clients and prospects you can use it to track email marketing campaigns, protential sales, create profiles and revenue from clients - there are better systems but this works for me right now. It comes with Outlook.

You can take keeping track of your students one step further by actually communicating with them when they aren't the in dojo.

Yes it does. We mostly schedule the meetings in accordance with the events programme, which is scheduled in the beginning of the year. Make copies of the programme while adding onto it the dojo events (not only for the organisation).
The first parents meeting includes handing out the events programme, in that way parents have an overview of the events for karate, tournaments, gradings, social events (fundraisings,, team camps and our yearly event: the sayonara - for the club members & parents)
Each meeting follows up on past events, events cancelled, postponed, fees, etc. everything about the clubs progress. At the same meetings the parents get to meet the instructors, other parents, enquire about their children in & after classes behavior.the list goes on.

Yes it is. It also prevents those kids who try to fraudster their parents by requesting for "fees to tournaments or karate event", little ones from saying that they are from the gym while they were not - ofcourse they'd been playing somewhere in the streets.
And for teenagers they are unable to get away with bunking their way to "friends' house for the weekend" or going with so-and-so for a weekend by taking the karate event as an excuse (you know adolescent stages)

We had one of those youngsters! Well, to say that we had him is a bit of a stretch. There was this youngster who came and trained once (complete beginner). He never returned. Not a big deal really, it happens all the time. About a year and three months later this woman came at the dojo and asked to speak to Sensei and basically she politely but firmly told him off for increasing fees all the time, charging a lot of money, forcing people to go to tournaments unprepared and forcing them to pay for it and forcing them to grade every month - and failing them every month, but charging them for it etc. etc. Needless to say sensei was shocked and explained how things really worked and asked her who her child was. She told him the name and got a blank look from Sensei. She got annoyed that he didn't even know his students' names but with the help of the register he managed to convince her that the kid had never trained since the beginning of the year at least. Anyway, when he went home that evening looked through old registers and found this kid's name - he turned up once, told the parents he joined the club and had been asking for money for fees, equipment, gradings, competitons etc. etc. ever since!
Don't know what his punishment was, but I have a feeling it was a 'good' one!

We use a card system where we pay and the card is scanned on the barcode area. You card is dated and lists all attendences showing what colour your belt grade is and what you eligible to grade for next if you have enough in that colour.
